Contacts & dues
A customer is a contact with a phone number. Every credit sale adds to their dues; every payment settles the oldest bills first. The ledger shows the statement, and a plain-words statement can be sent on WhatsApp.
How do I track what customers owe me?
- One contact can be a customer, a supplier, or both
- Dues at a glance on every contact, and on the dashboard
- Received cash against a bill or against the whole account, oldest first

Available on: Every plan. On the web app at app.negobill.com, and on the NegoBill Android and iOS apps with the same account.
Step by step
- Add a customer or supplier — Contacts → Add: a name or a phone number is enough. Mark them customer, supplier or both; add the GST number for tax invoices; put them in a group; switch on wholesale pricing if they get it.
- Record a payment from a customer (Received cash) — Contacts → the customer → Received, or the sale preview → Record payment: choose the method, the amount, and which bills it settles (oldest first by default). The due drops at once and a receipt is numbered.
- Send a customer their statement — On the contact, open Statement: every bill with a short summary, every payment, the running balance and the closing line in plain words. Share it on WhatsApp for any date range.
Questions people ask
Can I record a part payment?
Yes. Any amount against a bill or against the customer; the remaining due stays on the bill.
Can I send a reminder?
Share the statement or the bill link on WhatsApp from the contact or the sale.
