Privacy policy
This page states what applies to NegoBill. The Privacy Policy of Heartinz Technologies Private Limited on heartinz.com governs every Heartinz product and applies together with it; where the two differ, the Heartinz policy prevails.
NegoBill is a product of Heartinz Technologies Private Limited, Coimbatore, India ("we"). This policy covers the NegoBill apps and services; the company site heartinz.com has its own.
What we collect
- Account data: your name, email, phone number and password (stored hashed), and your business's name, address and GST registration.
- Business data you enter: products, stock, customers and suppliers, sales, purchases, payments, expenses, staff logins and settings. This is your data; we process it only to run the service for you.
- Technical data: device type, app version, IP address and error logs, to keep the service working and secure.
What we do with it
We use your data to provide NegoBill, to send one-time passwords and service messages, to invoice your subscription, and to answer support requests. We do not sell it and we do not use it for advertising.
Who can see it
You and the staff you give logins to, with the permissions you set. Our engineers, only to support you or fix a fault. Service providers that run the service for us: cloud hosting in India (Google Cloud, Mumbai), the database host, SMS and email gateways for one-time passwords. When you connect the NegoBill Assistant, the AI app you chose (Claude or ChatGPT) receives the answers to the questions you ask it; it never receives your password, and you can revoke it on the NegoBill Assistant page in the menu.
What the AI assistant shares
The NegoBill Assistant is off until you switch it on from Menu → NegoBill Assistant and sign in on a NegoBill page. After that, the AI app you connected (Claude, ChatGPT or another app that speaks MCP) receives only the answers to what you ask, drawn from these categories: product names, prices, GST rates and stock; customer and supplier names, business names, phone numbers, email addresses, GST numbers and what they owe; sale numbers, dates, lines and amounts; payments received and their methods; quotations; the business name, store name, plan and the payment method names. It never receives your password, your staff's logins, or buying prices and profit unless the signed-in person may see them in NegoBill. What the AI app keeps of a conversation is governed by that app's own privacy policy. Switching the connection off on the NegoBill Assistant page stops all sharing at once.
Where it is kept and for how long
On servers in India. For as long as your account exists. When you delete your account, everything is deleted after a 30-day grace period during which you can change your mind.
Your rights
Export your data from the app's reports and importers, correct it in the app, or delete the account at Delete your account. Write to support@heartinz.com for anything else.
Cookies
The website sets none. The app keeps your sign-in and preferences in your browser's own storage.
